Exam accommodations for faculty

Guidelines

At RISD we use a shared model for test accommodations and proctoring services. In DSS, we encourage faculty and departments to work as independently as possible when arranging exam accommodations for students.

While academic departments and faculty members are primarily responsible for providing testing accommodations to students with disabilities, we understand that you may need some assistance from us with scheduling and managing proctored exams. There may be situations where faculty members would not be able to provide testing accommodations, so we offer proctoring on a limited basis.

Situations in which you may need assistance from us include but are not limited to:

  • If you are teaching back-to-back classes and cannot proctor the extended time.
  • If you cannot find a location that reduces distractions.
  • If you lack access to assistive technology accommodations.


Due to staffing restrictions, students can only schedule their exams on the planned exam date—but it can be at any time between 8:30 am–4:30 pm. Due to limited seating, we may move students' requests for exams to a start time other than that requested by the instructor in order to maximize our seating capacity. As capacity allows, we will honor preferred times for exams.

If a student has a legitimate, class-related schedule conflict and must move their exam to a different date/time, it is the responsibility of you and the student to negotiate a new date/time and then let us know when to reschedule the exam.
 

Scheduling and proctoring exams within the department

If you plan to administer exam accommodations for your students independently, follow the steps below:

  • Inform your student(s) that you will administer exam accommodations during the regular scheduled exam time. You can do this via an in-class announcement, or via email and/or announcement on Canvas.
  • Let us know via email (disabilitysupportservices@risd.edu) that you will be administering exam accommodations during the regular scheduled exam time. Exam accommodations can include: extended time (time and a half or double time), use of a computer for the exam and/or taking the exam in a separate distraction free space.
  • Reserve the needed exam spaces. To reserve distraction free spaces, instructors/departments should primarily reserve a separate room through 25Live or use office space within their department or nearby as available.

Note that each instance of an accommodation may be different from the last. Sometimes multiple accommodations will occur at the same time. For example, there may be a need to schedule spaces for exams in multiple locations due to the time or space needs of the students in the class. Scheduling and proctoring exams through DSS

If you need support from us to accommodate a student’s needs, please submit a request via email (disabilitysupportservices@risd.edu) to have us proctor the exam virtually.

If we provide assistance, we will schedule exams based on proctor availability. We will determine the logistics for the accommodated exams while  communicating with you and the students.

When submitting a request, provide us with a copy of the exam at least 48 hours before the exam time so that we may prepare for the proctored exam. If we do not receive the exam within this time frame, we cannot guarantee proctoring availability.

Once a student completes their exam, we will send the completed exam to you within 24 hours.

Academic Integrity

Proctoring at RISD occurs through Canvas and Zoom. We do not use LockDown browsers, as students are more comfortable with other platforms.

While proctoring on Zoom, you can utilize the software to:

  • have the student share their screen in order to show their working area.
  • use the chat feature to have a line of communication with one another.

The code of conduct that students receive prior to entering the proctoring session includes the following requirements:

  • testing environment must have good Internet connectivity, low noise and adequate lighting.
  • no use of textbooks or notes unless instructed. 
  • no use of webpages or applications unless instructed. 
  • no use of cellphones. 
  • no communicating with others by any means. Talking out loud to yourself is acceptable.
  • no leaving the room before asking; this includes taking the computer with you. The exam should be taken in the same room that the “Exam Environment View” is completed in. 
  • nothing except computer and external cameras on the desktop or tabletop
  • removal of all books, papers, notebooks or other materials, unless specifically permitted in written guidelines for an exam.
  • the web-cam must be focused at all times on individuals taking exams.
  • nothing covering the lens of the camera at any time during the exam. 
  • no using virtual background or background blur.

If you or another proctoring staff member suspects that a student is cheating on an exam, please take every possible effort to positively confirm your suspicions before confronting the student taking the exam.
